Terms and Conditions: X-ED Immersion Programme 2027

Please read these Terms and Conditions carefully before registering for the X-ED Immersion Programme 2027. Your participation in the programme is conditioned on your acceptance of and compliance with these Terms. These Terms apply to all participants, including students and professionals.

The Client: The student or professional attending the immersion.
X-ED: X-ED Consulting (The Programme Host).

1. Payments and Investment

  • Total Investment: The programme cost is $2,908 USD per person on a sharing basis.
  • Payment Schedule: Payments must be made in three installments to X-ED Consulting:
    • 1st Installment: $900 due by 1 August 2026.
    • 2nd Installment: $1,000 due by 1 September 2026.
    • 3rd Installment: $1,000 due by 1 October 2026.
  • Inclusions: Fee includes accommodation, daily breakfast and lunch, three dinners, all ground transport, and academic/institutional visits and materials.
  • Exclusions: International flights, visas, items of a personal nature, and health insurance are not included. Single room occupancy is available at an additional cost.
  • Default: X-ED reserves the right to cancel participation if payment deadlines are not met.

2. Bookings and Deadlines

  • Expression of Interest: Must be submitted by 1 July 2026.
  • Minimum Participation: This immersion requires a minimum of 12 participants to proceed.
  • Application Process: Bookings are managed via the official application form at https://xedconsultingservices.co.za/apply.
  • Preparation: Upon registration, clients will be provided with a pre-trip reading list and assignment.

3. Passports, Visas, and Health

  • Visa Requirements: Most nationals do not require a visa to enter South Africa for stays up to 90 days (Contact your travel agent).
  • Mandatory Vaccination: A Yellow Fever vaccination is mandatory and must be administered at least 30 days prior to the visit.
  • Responsibility: It is solely the client’s responsibility to ensure all travel documents and health clearances comply with South African requirements.

4. Programme Logistics and Accommodation

  • Locations: The programme takes place in Johannesburg and Pilanesberg, South Africa, from 07–14 February 2027.
  • Lodging: Accommodation is provided at Hotel Sky (Sandton) and Bakubung Bush Lodge (Pilanesberg).
  • Itinerary Variations: All programme elements and speakers are subject to change based on availability.
  • Dress Code: The dress code is smart casual. X-ED branded polo shirts will be provided for specific field days.

5. Cancellations and Liability

  • X-ED Cancellations: X-ED reserves the right to cancel the immersion if the minimum number of participants (12) is not reached.
  • Force Majeure: X-ED and its partners are not liable for cancellations or delays caused by strikes, natural disasters, or other events beyond their control.
  • Limitation of Liability: X-ED shall not be held liable for any loss, injury, or damage arising from travel arrangements, including luggage loss or flight delays.

6. Conduct and Data Privacy

  • Conduct: Participants must comply with all safety instructions. Disruptive behavior may result in removal from the programme without a refund.
  • Data Protection: X-ED collects personal information solely for immersion management and complies with relevant data protection laws (POPIA).
  • Media Release: Participants acknowledge that photos or videos taken during the tour may be used by X-ED for promotional purposes unless a written opt-out is provided before departure.
